How to email an Airtable view on a schedule (daily, weekly, monthly)
Want your manager to get "this week's closed deals" every Monday at 08:00, or a client to get a monthly status sheet? Here's how to email an Airtable view on a schedule, and where Airtable's own tools stop.
Option A: the native automation email
- Open Automations and create one with the trigger At a scheduled time. Set the interval and time.
- Add an action Find records. Choose the table and either pick a view or set conditions.
- Add an action Send email. Insert the found records as a list or grid in the message body.
This works for small digests read in the email itself. Its limits:
- No attachment. Recipients get an HTML table, not a file to sort, pivot or import.
- Record cap. Find records only returns a limited number of records.
- Formatting. Long text, attachments and linked records render inconsistently across email clients.
- Timezone. Check which timezone the trigger uses, especially for recipients in other countries and around daylight saving changes.
Option B: share a view link
A shared view link always shows live data, and viewers can download a CSV themselves if you allow it. But nothing gets sent, so people have to remember to open it. Anyone with the link can see the data too.
Option C: send the view as a CSV attachment
If recipients work in Excel or Google Sheets, or you need a dated file for each period, send a CSV attachment. Tips that apply whatever tool you use:
- Make a dedicated view for the export, for example "Weekly report – do not edit". Its filters, sort and visible fields then define the file, and teammates won't break it by accident.
- Use relative date filters like "is within the past week" or "is within this month" so each email covers the right period.
- Put the date in the filename, for example
closed-deals-2026-03-02.csv, so files sort and archive nicely. - Pick the timezone explicitly. "08:00 Europe/Amsterdam" stays 08:00 local time after a DST change. A UTC schedule doesn't.
- Use a UTF-8 BOM so Excel shows accents correctly.
ViewCourier does all of this out of the box. Choose daily, weekly (any weekday) or monthly (day 1–28), any hour, any IANA timezone, and a filename template like {view}-{date}.csv.
