How to export an Airtable view to CSV automatically
Airtable makes exporting a view to CSV easy once: open the view menu and click Download CSV. Doing it automatically every day or week is harder. This guide covers every option and its limits.
1. The manual way: Download CSV
In any grid view, click the view name (or the … menu next to it) and choose Download CSV. The file contains:
- only the records that match the view's filters, in the view's sort order;
- only the view's visible fields (hidden fields are left out);
- linked records, lookups and multi-selects as comma-separated text.
The catch: somebody has to remember to do it. There is no built-in "repeat every Monday" option, and it only works from a browser session.
2. Airtable automations
Automations can run at a scheduled time and have a Send email action. You can add a Find records step and put the found records in the email body. That's useful for short digests, but:
- the records appear as a table or list in the email body, not as a CSV attachment, so recipients can't open them in Excel or import them anywhere;
- Find records returns a limited number of records, so large views get cut off;
- automation runs count toward your plan's monthly limit.
3. A scripting step
With a Run a script action you can read a view's records and build CSV text in JavaScript. The script still can't email it as an attachment by itself. You'd have to send the CSV to an outside service, such as your own server or a mail API, which means writing and maintaining code and API keys inside your base.
4. Make, Zapier or n8n
The usual workaround is a scenario like Schedule → Airtable: Search records → CSV aggregator → Email/Gmail: send with attachment. It works, but:
- each record often counts as an operation or task, which gets expensive for big views;
- you have to map columns by hand, and adding a field to the view means editing the scenario;
- pagination, rate limits (Airtable allows 5 requests per second per base) and character encoding for Excel are up to you.
5. Your own script and cron job
Developers can call the Airtable Web API directly: GET /v0/{baseId}/{tableId}?view={viewId} returns 100 records per page, plus an offset for the next page. Loop until there's no offset, flatten the cell values, write the CSV, and send it from a cron job. Budget time for token storage, retries on HTTP 429, timezones, and a server that keeps running.
Which option should you use?
For a one-off export, use Download CSV. For a recurring file that should land in someone's inbox as a real CSV attachment, use a scheduler built for that job.
