A simpler alternative to Zapier and Make for Airtable CSV exports
Ask in the Airtable community how to email a view as a CSV every week and the answer is usually "use Make or Zapier". It works. But for this one job, a general automation platform is more moving parts and more cost than you need.
What the Make or Zapier scenario looks like
- Schedule trigger: every Monday at 08:00.
- Airtable: Search records in a view. You set the record limit high enough for your view and hope it doesn't grow past it.
- Iterator / aggregator to turn the records into CSV text. You map each column by hand.
- Create file from the text (some setups need a separate step to set the file name and type).
- Gmail / Outlook / SMTP: send email with the file attached.
The hidden costs
- Operations per record. On Make, every record that flows through a module typically counts as an operation. A 2,000-row weekly export can use thousands of operations a month. Zapier's per-task billing has the same effect when looping over records.
- Manual column mapping. Add a field to the view and the CSV doesn't change until someone edits the scenario.
- Edge cases are yours. Commas and line breaks inside cells, UTF-8 for Excel, Airtable's 100-records-per-page paging and its rate limit of 5 requests per second per base.
- Your mailbox sends it. The email goes out from a connected personal or shared account, which ties the report to that person's login.
When Zapier or Make is the right tool
If the export is one step in a bigger workflow (for example: export, then upload to an SFTP server, then post in Slack), a general platform makes sense. If all you need is "this view, as a CSV, in these inboxes, on this schedule", a dedicated tool is faster to set up and cheaper to run.
The dedicated approach
- Paste a read-only Airtable personal access token.
- Pick base, table and view. The view's filters, sort and visible fields define the file, so adding a column in Airtable changes the export automatically.
- Add up to five recipients and choose daily, weekly or monthly at a time in your timezone.
- Each run emails a correctly escaped, Excel-friendly CSV with a dated filename. Flat monthly price, no per-record billing.
