How to send a weekly Airtable report to clients or your manager
Agencies send clients a weekly status sheet. Ops teams send their manager open tickets every Monday. Sales teams send last week's closed deals to finance. If that data lives in Airtable, the report can send itself.
Step 1: build a report view
- Filter by time with a relative date filter, for example Created time is within the past week or Close date is within the past 7 days. The view then always shows "last week" without editing.
- Filter by client when each client should only see their own records: one view per client, filtered on the client field.
- Hide internal fields such as notes, costs and internal owner. Only visible fields are exported.
- Sort the way the reader thinks: by date, priority or status.
- Name it clearly, for example "Report – Acme – weekly", and tell teammates not to change it.
Step 2: pick the send time
Monday 07:00–08:00 in the recipient's timezone works well: the report is at the top of the inbox when the week starts. For month-end reports, send on the 1st so the previous month is complete. Watch daylight saving changes if your tool schedules in UTC.
Step 3: choose the format
- Email body table (Airtable's native Send email action): fine for a handful of rows, read on a phone.
- CSV attachment: better when the reader filters, totals or pivots in Excel or Google Sheets, or needs a dated file for their records. Airtable can't attach a CSV natively.
- Shared view link: always live, but nothing arrives in the inbox, so people forget to open it.
Step 4: make it trustworthy
- Use the same subject line every week (for example "Acme – weekly status – 2026-03-02") so it's easy to search.
- Get a notice when a run fails, for example because a token expired or a view was renamed, so a silent gap doesn't go unnoticed.
- Send the first one to yourself and open it in Excel before adding the client.
