How to email more than 100 Airtable records at once
If you build an automation with Find records → Send email and insert the found records as a list or grid, the email shows at most 100 of them. A view with 400 open orders arrives with the first 100, and nothing tells the reader that rows are missing.
Where the limits are
- The email list: according to Airtable's support article on Find records, a list or grid of records inserted into an automated email is capped at 100 records.
- Find records itself: new actions return up to 1,000 records by default (configurable under Maximum record limit). Actions created before that setting existed still default to 100, so open older automations and check it.
- Test runs preview only the first 10 records. That's a preview limit, not what a live run sends.
The Airtable REST API also returns records in pages of up to 100; any external tool that wants the whole view has to request page after page using the offset value it gets back.
Option 1: split the view
Create several filtered views (for example by region or by status) that each stay under 100 records, with one Find records step per view, and send one email per view. This is free, but the views need maintenance as data grows, and recipients get several emails.
Option 2: summarise instead of listing
Often the reader needs totals, not rows. A rollup or a summary table with counts per status fits easily in an email. Link to the Airtable view (or a shared view) for details. This doesn't work when the recipient has no Airtable access or needs the rows in a spreadsheet.
Option 3: a script that pages through the view
An automation script can use table.selectRecordsAsync({ view }) to read every record in a view, build CSV text and send it to an external email API. You own the code: escaping, attachments, retries and secrets.
Option 4: send a file instead of a list
For anything longer than a screen, a CSV attachment is easier on the reader than a list in the email body. It opens in Excel or Google Sheets, it can be sorted and filtered, and each email is a dated copy. Tools like Make, Zapier or ViewCourier can produce it on a schedule. ViewCourier pages through the entire view (up to 5,000 rows on Starter and 50,000 on Pro) and keeps the view's filters, sort order and visible fields.
Checklist before you switch
- Create a dedicated export view and hide fields the recipient shouldn't see.
- Check that the view sorts the way people expect to read it.
- Pick the cadence: daily for operations, weekly for status, monthly for finance.
- Send one test run to yourself and open it in Excel before adding clients or colleagues.
Let ViewCourier do it
Connect a read-only Airtable token, pick a view, and choose daily, weekly or monthly at your time and timezone. Every run emails a clean CSV attachment to up to five people. The free trial lasts 14 days and needs no credit card.
