Airtable "Download CSV" missing? 5 reasons and fixes
You open the view menu and Download CSV isn't there, or the option you remember is greyed out. In almost every case it is one of the five reasons below. Each comes from Airtable's own help articles, so you can check them in order.
Where the option normally is
Open the base, find the view in the sidebar or the view bar, click the down arrow (˅) next to the view's name and choose Download CSV. The option sits on the view, not on the base or the table, and the file contains what that view shows.
1. You're not on a grid view
Airtable only exports grid views to CSV. Kanban, calendar, gallery, timeline, form and list views don't have the option. Fix: create a new grid view on the same table (it doesn't have to be the view anyone uses), or switch to an existing one, and download from there.
2. You're on the mobile app
Airtable says exporting grid views to CSV "is only available on our web and desktop applications". On a phone, open airtable.com in a desktop browser (or request the desktop site), or do the export later from a computer.
3. You're looking at a shared view link
When someone shares a view with a link, they choose whether viewers may "copy data out of this view". If that setting is off, the CSV download disappears for everyone who opens the link. Fix: ask the person who shared it to turn on Allow viewers to copy data out of this view under Share and sync → Link settings, or to add you to the base.
A second surprise with shared links: if you filter a shared view and then download the CSV, your filters are ignored. The file contains the records of the original shared view. To get a filtered file, download it, import the CSV into your own base, filter there and export again.
4. Your Enterprise admin switched it off
On Enterprise plans, admins can restrict CSV downloads in the admin panel's data settings. If you're a collaborator on a company base and the option is missing on every grid view, this is the likely cause. Only an admin can change it.
5. It's an interface, not a view
Interface pages don't use the view menu. The interface's creator has to turn on an option that lets users download the page's records as CSV. If you only have interface access, ask the creator to enable it.
Your role isn't the problem
People often assume they lack permission, but Airtable lists "Download CSVs of individual views" for every base role: owner, creator, editor, commenter and read-only. If you are a base collaborator and the option is missing, it's one of the reasons above, not your role.
The file downloaded, but records or columns are missing
- Filters: the CSV contains only the records the view shows. To export the whole table, use a view without filters.
- Hidden fields: hidden fields aren't exported. Unhide them in the view first, or create a dedicated "Export" view with exactly the columns you need.
- Attachments: attachment fields come out as file names plus links, and those links expire after a few hours. See why Airtable CSV attachment links stop working.
If you download the same CSV every week
Once you have a view that exports correctly, you don't have to keep clicking Download CSV. Airtable automations can't attach a view as a file, but you can have the view emailed as a CSV or Excel file on a schedule. See how to export an Airtable view to CSV automatically.
