How to Download a CSV from Airtable

Updated

In Airtable, Download CSV lives in the view menu, and interfaces have their own, separate download setting. This guide covers the steps, what ends up in the file, why the option goes missing, how to open the CSV in Excel without garbled text, and how to get the file without clicking every time.

Download a CSV from a grid view

  1. Open the base on a computer, in the browser or the desktop app.
  2. Select the table and the grid view you want.
  3. Click the down arrow (˅) to the right of the view's name.
  4. Choose Download CSV.

The option belongs to the view, not the base or the table. So the file reflects that view, and the quickest way to export a different slice is to make a grid view for it. Name it something like Export: open orders, set its filters, sort and visible fields, and download from there. Duplicate a similar view rather than rebuilding filters.

What the CSV contains, and what it does not

ItemIn the file?
Records that pass the view's filtersYes. Records filtered out are left out.
Sort orderYes, rows follow the view's sort.
Visible fieldsYes. Hidden fields are not exported.
Linked records, lookups, multi-selectsYes, as comma-separated text, so linked records appear as the names of the linked rows.
AttachmentsAs file names and links only. The files are not in the CSV, and the links expire.
Comments, field descriptions, base guide, extension-only dataNo.
Other tablesNo. It is one table per file.

Two details trip people up. First, attachment links in a CSV expire after a few hours (Airtable promises at least 2 hours), so download the files right away if you need them; why attachment links in a CSV stop working has the options. Second, a view with more than 5,000 visible records first loads as a 1,000-record preview. Airtable does not say how the export behaves then, so click Load all records, wait, download, and compare the row count in the file with Airtable's count. For the other documented ceilings, see Airtable export limits.

Download a CSV from an Airtable interface

An interface page does not use the view menu. The builder has to allow the export first, and only a base owner or creator can build interfaces. Per Airtable's Interface Designer article:

  1. Open the interface and enter Edit mode.
  2. Click an interface page that uses a visualization layout (list, gallery, kanban, calendar, timeline or grid).
  3. In the properties panel, find User actions. The options sit in the Advanced group.
  4. Turn on Allow users to export data as CSV.
  5. Click Publish. Done only saves a draft, and collaborators do not see drafts.

Then anyone who can open the published page clicks the … icon at the top right and chooses Download data. The file is named after the page. The setting is per page, so switch it on for each page that needs it.

An interface page reads from a table, not from a view. The records on the page are decided by that page's own Filter by conditions, and filters, sorts and hidden fields from a grid view of the same table do not carry over. A CSV from the interface and a CSV from a similarly named view can therefore differ. Airtable does not say whether filters a viewer applies on the page change the file, so check the row count of your first download. If the toggle is not in your layout's properties panel, Airtable does not promise it there.

Download CSV missing or greyed out: the checklist

Go down the list and stop at the first answer that is not what you expected.

  1. Are you on a computer? Airtable lists CSV export as available in the web and desktop apps, not in the iOS or Android apps. Use a computer, or ask a colleague for the file.
  2. Is the view a grid view? Airtable's CSV instructions are titled "Exporting grid views as CSVs". In a Kanban, calendar, gallery, timeline or form view, make a grid view on the same table and download from that.
  3. Did you open a shared link? A shared link usually looks like airtable.com/shr…. Its owner can leave Allow viewers to copy data out of this view turned off (view share menu, Link settings), which removes the download option for people using the link. Ask the owner to turn it on. Airtable says the setting cannot stop base or workspace collaborators, so open the view from inside the base.
  4. Is it an interface page? Then the view menu does not apply. Ask the builder to enable the page's export setting and publish, as above. Check it was turned on for this page, not another, and that the page is not a form, overview or dashboard; Airtable describes the setting for table-style pages only.
  5. Is the base owned by a company on an Enterprise plan? Airtable says an admin may have restricted CSV downloads in the data settings of the admin panel. Export controls can block downloads, printing and copy/paste for external collaborators only, or for everyone. Only an organization admin can change it, so ask them and do not work around a restriction that exists on purpose.
  6. Is it your permission level? Usually not: Airtable allows downloading CSVs of individual views for owners/creators, editors, commenters and read-only collaborators. If you were invited to an interface only, you may not see the base's views at all (step 4).
  7. Is the option there but no file arrives? That is a browser problem, not a permission, and Airtable does not list it as a cause. Look for a blocked-download notice, allow downloads and pop-ups for airtable.com, try a private window with extensions off or another browser, and clear the cache.

When you cannot get the menu option

  1. Switch to a grid view. It fixes the most common case in a minute.
  2. Ask for a dedicated export view, which keeps working even if someone redesigns the interface.
  3. Use the API or a script. With a personal access token that has the data.records:read scope, the Web API returns a view's records in pages of 100, with an offset for the next page. The guide to exporting a view to CSV with a script shows the loop. It needs read access to the base and is not a way around an admin block.
  4. Use a tool that does not depend on the menu. See the whole-base option below.

Open the CSV in Excel or Google Sheets correctly

Double-clicking a CSV skips Excel's import window, so Excel may guess the wrong code page and the wrong column types. Import it instead:

  1. In Excel, choose Data, then From Text/CSV, and pick the file.
  2. In the preview, set File Origin to 65001: Unicode (UTF-8) and check that the Delimiter is Comma.
  3. If IDs or postcodes such as 00742 lose their zeros, set the column to Text in Transform Data, or set Data Type Detection to Do not detect data types.

If Müller shows as Müller, Excel read UTF-8 as an old Windows code page, and the import above fixes it. Dates follow your regional settings, so day and month can swap, and text starting with =, +, - or @ can be read as a formula (CSV injection). In Google Sheets, importing the file through the File menu usually handles UTF-8 on its own; I did not verify the exact menu labels against Google's help. The full walkthrough is in the Excel export guide.

Export a whole base, not one view

Download CSV works one view at a time, so ten tables means ten downloads. The free Airtable base to CSV tool runs in your browser, uses a read-only personal access token that you create, and returns every table as its own CSV inside one ZIP. It does not depend on the view menu, and the files are UTF-8. For a safety copy rather than a one-off, read Airtable backup.

Get the CSV automatically

If you download the same view every Monday, stop doing it by hand. Airtable has no repeat setting for Download CSV, and its automations cannot build a CSV file and attach it, as this guide explains. You can use a script, a Make or Zapier scenario, or a scheduled export service; how to export an Airtable view to CSV automatically compares them.

ViewCourier emails the view as a CSV, Excel or PDF file at a time you choose. It reads records through the Airtable API with a read-only personal access token, so it works from a grid view in the base, not from an interface, and whoever sets it up needs access to the base.

  1. Build a grid view with the filters, sort and visible fields you want. For an interface export, copy the page's filter conditions into the view and compare row counts.
  2. Create a personal access token at airtable.com/create/tokens with the scopes data.records:read and schema.bases:read, and add the base under Access.
  3. In ViewCourier, connect the token, pick the base, table and view, choose CSV, add up to five recipients, and choose daily, weekly or monthly with a time and timezone.
  4. Click Send now and compare the row count with a manual download.

The free plan covers one weekly or monthly export of up to 1,000 rows. Starter (€9 a month) adds daily schedules, 5,000 rows and a live CSV link, and Pro (€19) goes to 50,000 rows and hourly. Paid features have a 14-day trial without a card. With interface-only access you cannot create a token, so this route needs someone with base access.

FAQ

How do I download a CSV from Airtable?

Open the base on a computer, select a grid view, click the down arrow next to the view name and choose Download CSV. The file holds the records, sort order and visible fields of that view.

Why is Download CSV greyed out or missing in Airtable?

The documented causes are: you are in the iOS or Android app, the view is not a grid view, you opened a shared link whose owner turned off 'Allow viewers to copy data out of this view', you are on an interface page where CSV export was not enabled, or an Enterprise admin restricted exports.

How do I download a CSV from an Airtable interface?

The builder turns on 'Allow users to export data as CSV' in the page's User actions and clicks Publish. Then open the page, click the three-dot menu at the top right and choose Download data.

Why does my CSV not contain the filters I applied on a shared link?

Airtable says a CSV downloaded from a shared view link reflects the records of the originally shared view, not the filters a viewer applies on top. To get a filtered file, import the CSV into your own base, filter there and export again.

Can Airtable send the CSV on a schedule?

Not by itself. A script, a Make or Zapier scenario, or a scheduled export tool such as ViewCourier can email the same view on a schedule.

Let ViewCourier do it

Connect a read-only Airtable token, pick a view, and choose daily, weekly or monthly at your time and timezone. Every run emails a clean CSV, Excel or PDF file to up to five people. Free plan for one weekly or monthly export; the 14-day trial of daily schedules needs no credit card.
