How to download CSV from an Airtable Interface (and send it on a schedule)

Updated

Airtable interfaces can export the records on a page as a CSV, but only when the person who built the page has switched that on. If you do not see a download option, that setting is the usual cause. This guide covers how to enable it, how to download the file, the other reasons the option goes missing, what to do when you cannot change the interface, and how to get the same data by email on a schedule.

The Airtable details below come from Airtable's help articles on Interface Designer, Interface Designer permissions and legacy element-based interfaces, read in October 2026. Menu names may change.

Step 1: the builder enables CSV export

Only a base owner or creator can build interfaces, so this step is theirs. Per Airtable's article:

  1. Open the interface and enter Edit mode.
  2. Click an interface page that uses a visualization layout (list, gallery, kanban, calendar, timeline or grid).
  3. In the properties panel on the right, find User actions. The relevant options sit in the Advanced group.
  4. Turn on Allow users to export data as CSV.
  5. Click Publish. Clicking Done only saves a draft, and collaborators do not see draft changes.

The setting belongs to the page, not the whole interface. To get CSV on three of five pages, switch it on for each of those three.

Step 2: download the file

  1. Open the published page.
  2. Click the … icon at the top right of the page.
  3. Click Download data.

The file should download to your computer, named after the interface page. Airtable describes it as the data set shown in the interface. Its article does not say whether filters an end user applies on the page change the file, so check the row count of your first download.

Grid, list and the other layouts

Airtable's article describes the CSV toggle in the Advanced user actions of table-layout pages, and repeats it for the gallery visualization. It does not repeat it in the list or grid sections. That does not mean grid and list cannot export, but I cannot point to a sentence that says they can. If the toggle is not in the properties panel for your layout, Airtable's documentation does not promise it there.

Builders also mix up two places. Page-level properties show when you click the page background; a single visualization shows its own when you click it. If you cannot find the toggle, click outside the grid or list so the page is selected. A community answer on Airtable's forum describes this for a grid on a record review page: three dots then appear at the top right of the grid with an export option.

Older element-based pages (the Blank layout and legacy Record review) are the other odd case. Airtable recommends the newer layouts and says Blank gets no new features, so rebuild such a page as a table layout if it misbehaves.

Why the download option is missing

Check these in order.

When you cannot change the interface

You have three options, from least to most effort.

  1. Ask the builder. It is one toggle and a Publish click.
  2. Download from the base instead. If you are a collaborator on the base, open the table, click the down arrow next to the view name and choose Download CSV. Airtable's permissions table allows this for owners, creators, editors, commenters and read-only collaborators.
  3. Ask for a dedicated export view. A grid view named something like Export: open orders, with the filters and visible fields you want, is the most reliable source of a stable CSV. It keeps working if someone redesigns the interface.

If you were invited only to the interface, Airtable calls you an interface-only user. You cannot open the base's views, so the second and third routes need someone to add you to the base or send you the file.

An interface page is not a view

This surprises people. Airtable's article says an interface page reads from a table, not from a view. The records on a page are decided by that page's own Filter by conditions. Filters, sorts, grouping and hidden fields set on a grid view of the same table do not carry into the interface.

So a CSV from the interface and a CSV from a similarly named view can contain different rows and columns. When you build an export view to match an interface page, copy the page's filter conditions into the view by hand, then compare row counts. Anything the page does per viewer, such as showing only the current user's records, has no equivalent in a plain view.

Sending the CSV on a schedule

The interface download is manual: someone opens the page, clicks the menu, and clicks Download data. I found no setting in Airtable's documentation that sends that file on a schedule. Airtable automations can send emails, but there is no action that builds a CSV file and attaches it; this guide explains the limit and the workarounds.

ViewCourier can email the data on a schedule, with one honest limit: it works from a grid view of the base, not from the interface itself. It reads records through the Airtable API with a read-only personal access token, so whoever sets it up needs access to the base. Recipients can be anyone with an email address.

  1. Build a grid view in the base that matches the interface page: same table, same filters, the fields you want visible, and the sort order you want. Name it clearly.
  2. Create an Airtable personal access token at airtable.com/create/tokens with the scopes data.records:read and schema.bases:read, and add the base under Access.
  3. In ViewCourier, connect the token, pick the base, table and that view, choose CSV, Excel or PDF, add up to five recipients, then choose daily, weekly or monthly, and the time and timezone.
  4. Run a test export and compare its row count with a manual download.

The view's filters, sort and visible fields define the file, so changing the view in Airtable changes the next email. The free plan covers one weekly or monthly export of up to 1,000 rows. Starter (€9 a month) adds daily schedules, 5,000 rows and a live CSV link, and Pro (€19) goes to 50,000 rows and hourly. Paid features have a 14-day trial without a card.

What this does not cover

For the general version of this setup, read how to email an Airtable view on a schedule. The free base to CSV tool does a one-off dump in your browser.

FAQ

How do I download a CSV from an Airtable interface?

The builder turns on 'Allow users to export data as CSV' in the page's User actions and publishes. Then open the page, click the three-dot menu at the top right and choose Download data.

Why is there no Download data option on my interface page?

Most often the setting is off, was saved as a draft without Publish, or was turned on for a different page. Enterprise admins can also block CSV downloads. Ask the builder to check, or download from a grid view of the base if you have base access.

Can an interface-only user download a CSV?

Only if the builder enabled the page's export setting. Interface-only users cannot open the base's views. Airtable's permissions chart does not list CSV download as a separate right, and I could not find a documented editor-only rule.

Does an interface CSV match the CSV of a view?

Not necessarily. An interface page reads from a table and uses its own Filter by conditions, so view filters, sorts and hidden fields do not carry over. Copy the page filters into a dedicated grid view and compare row counts.

Can I schedule a CSV download from an Airtable interface?

Airtable's documentation describes the interface download as manual only. For a scheduled file, build a grid view with the same filters and have a tool such as ViewCourier email it. It reads the base through a read-only API token, not the interface.

Does ViewCourier work if I only have access to an interface?

No. It needs a personal access token for the base, which only base collaborators can create. Someone with base access can set it up and send the file to you.

Let ViewCourier do it

Connect a read-only Airtable token, pick a view, and choose daily, weekly or monthly at your time and timezone. Every run emails a clean CSV, Excel or PDF file to up to five people. Free plan for one weekly or monthly export; the 14-day trial of daily schedules needs no credit card.
