Export Airtable to Excel: 4 Ways (Incl. Free)

Updated

You need your Airtable data in Excel, once or on repeat. Airtable has no "Download as .xlsx" button, so the real question is which of four routes fits: a CSV you open in Excel, a filtered view you export, a free tool that builds a real .xlsx, or an automatic copy that arrives on its own. Each is below, with the fixes for what usually goes wrong.

Way 1: Download CSV and open it in Excel

This is the built-in route, and it is free on every Airtable plan. According to Airtable's help, exporting a grid view to CSV works in the web and desktop apps, not in the iOS or Android apps.

  1. Open the base and the table, and choose the grid view you want to export.
  2. Click the down arrow to the right of the view name.
  3. Click Download CSV. A file named after the table and view lands in your Downloads folder.
  4. Do not double-click it. In Excel, open a blank workbook and go to Data → Get Data → From File → From Text/CSV.
  5. Pick the file. In the preview window, set File Origin to 65001: Unicode (UTF-8) and check that the Delimiter is Comma.
  6. Click Load to put the data on a sheet as an Excel table, or Transform Data if you want to fix column types first (see below). Then use File → Save As → Excel Workbook (.xlsx) to keep it.

Double-clicking skips the import window, which is where the four problems below get fixed.

Accented characters look garbled

If Müller appears as Müller, Excel read the UTF-8 file with a different code page. Whether it guesses right depends on the Excel version and on how the file was written, so the dependable fix is the import window above with File Origin set to UTF-8. If your colleagues will receive the file, a real .xlsx (way 3) avoids the question.

Leading zeros disappear

A value such as 00742 in a text field is written to the CSV as 00742, but Excel's automatic detection turns it into the number 742. In the import window click Transform Data, select the column, and set its type to Text. Or set Data Type Detection to Do not detect data types so every column stays text. Note that a Number field in Airtable has no leading zeros to begin with, so for IDs and postcodes use a single line text field in Airtable.

Dates turn into the wrong day or stay text

Airtable writes a date the way the field is formatted, for example 24/10/2026 or 10/24/2026. Excel reads that with your computer's regional settings, so a day and month can swap, or the value stays as text. In Power Query, right-click the date column, choose Change Type → Using Locale, and select a locale that matches the format. If you control the Airtable field, the ISO format (2026-10-24) is read correctly almost everywhere.

Linked records, lookups and attachments become text

Way 2: Export only specific rows and columns

A CSV contains the records that pass the view's filters and the fields that are visible in it. So the way to export a slice is to make a view for it, and leave your working views alone.

  1. Click Create under the view list and add a new grid view. Name it something like Excel export.
  2. Add filters for the rows you want, for example Status is Active or Created time is within the past month.
  3. Use Hide fields to remove every column you do not need, and drag the rest into the order Excel should show.
  4. Download CSV from this view and import it as in way 1.

The opposite case is a full copy of a table. Airtable says that to download every record, the view must have no filters, and all fields must be visible. If the downloaded row count is lower than expected, see Airtable export limits. If the option is missing or does nothing, see Airtable Download CSV missing or not working. A shared view link may have copying switched off by its creator, which also removes the download option.

Quick alternative for small slices: in a grid view, select a range of cells or click a column header, press Ctrl+C (Cmd+C on Mac) and paste into Excel. No file and no import window, but only for a few hundred rows.

Export a list of emails from Airtable

This is a common request and it is the same trick:

  1. Create a grid view and hide every field except Email. Keep the name field too if you want names beside the addresses.
  2. Add a filter Email is not empty, and any others you need, such as Subscribed is checked.
  3. Either choose Download CSV from the view menu, or click the Email column header, copy, and paste into Excel.
  4. In Excel, use Data → Remove Duplicates if the same address can appear in several records.

Email addresses are personal data. Export only what you need, store the file somewhere access-controlled, and delete old copies.

Way 3: The free Airtable to Excel tool (real .xlsx)

CSV is a text format. If you want an actual Excel workbook, with numbers already stored as numbers, a bold header row and no import window, use the free Airtable to Excel converter on this site.

  1. Create a personal access token at airtable.com/create/tokens with the scopes data.records:read and schema.bases:read, and add the base you want.
  2. Paste it on the tool page and click Load my bases, then pick the base.
  3. Click Download Excel workbook. You get one .xlsx file with one worksheet per table.

It runs in your browser: the token goes only to Airtable's API, nothing is uploaded to our server, and nothing is stored. There is no signup. Text such as 007 stays text, and accents open correctly. Two limits: it exports whole tables, ignoring view filters and hidden fields (for a slice use way 2), and it follows Airtable's API limits of 100 records per request and about 5 requests per second per base, so 10,000 records take roughly 25 seconds.

Way 4: Automatic or live Airtable to Excel

If you will repeat the export, stop doing it by hand. There are two honest options.

A scheduled file in your inbox

ViewCourier connects to a view with a read-only token and emails it as an Excel (.xlsx) or CSV attachment every day, week or month, at your time and timezone, to up to five recipients. You build the view once, as in way 2, and the file then arrives on its own with the filters, sort and visible fields of that view. There is a free plan for one weekly or monthly export, and the 14-day trial of daily schedules needs no credit card. Details on setting it up, plus the encoding and date traps, are in how to send a scheduled Airtable export to Excel users.

A live link with Power Query

Excel can pull data on a Refresh All click. Two ways:

For a Google Sheets version of the same idea, see sync an Airtable view to Google Sheets automatically.

Check before you send the file

Compare the Excel row count with the record count Airtable shows for the view. Look at accented names, IDs, postcodes and dates, and make sure you hid fields that should not leave the company.

FAQ

Can Airtable export directly to an Excel .xlsx file?

No. Airtable's own export is Download CSV on a grid view, one view at a time. To get a real .xlsx you convert the CSV in Excel, use the free browser tool on this site, call the API yourself, or have a scheduler such as ViewCourier email an Excel attachment.

Why do accents look wrong when I open the Airtable CSV in Excel?

Excel sometimes reads a CSV in an old Windows code page instead of UTF-8, so Müller turns into Müller. Do not double-click the file. Open a blank workbook, use Data, Get Data, From File, From Text/CSV, and set File Origin to 65001: Unicode (UTF-8).

Does the CSV export only the rows and columns I see in the view?

Yes. Airtable exports the records that pass the view's filters and the fields that are visible in it. To export a whole table, use a view with no filters and every field shown. Record comments and field descriptions are never included.

How do I get only the Email column out of Airtable?

Make a view that shows only the Email field, filter out empty emails, and either download it as CSV or select the column in the grid, copy it and paste it into Excel. Remember that emails are personal data, so share the file only with people who need it.

Is there a way to keep an Excel file connected to Airtable?

Yes, with Power Query and the Airtable API. The API returns 100 records per request, so a query must follow the offset value page by page. A simpler route is a scheduled export that emails a fresh file, or a live CSV link that Power Query can read.

Let ViewCourier do it

Connect a read-only Airtable token, pick a view, and choose daily, weekly or monthly at your time and timezone. Every run emails a clean CSV, Excel or PDF file to up to five people. Free plan for one weekly or monthly export; the 14-day trial of daily schedules needs no credit card.
